Manage an employee's documents
Keep contracts, tax forms and other files on an employee's record, and ask them to acknowledge one.
Owners and admins keep each employee's documents on their record, from the Employees screen. The employee sees them on My Documents.
Who can do this
Owners and admins, outside the demo workspace. The Documents button is only shown to them.
Before you start
Have the file ready: a PDF or an image (JPEG, PNG, WebP or HEIC), up to 10 MB.
Steps
Add a document
- Open HR, then Employees under Management.
- On the employee's row, click Documents.
- Click Add document for and the employee's name.
- Fill in the Title and the Type: Contract, Tax form, Benefits, Identity, Medical, Certificate or Other. Add an expiry date under Expires (optional) if it has one.
- Click Choose file and pick the file.
- Click Add document.
Ask the employee to acknowledge it
- On the document, click Request acknowledgement.
- The employee sees I have read this on My Documents. This records that they have read it; it is not a signature.
To stop asking, click Withdraw request.
Change, replace or remove a document
- Edit changes the title, type or expiry date.
- Replace file swaps the file.
- Remove, then Remove document, deletes the document and its file. This cannot be undone.
A document past its expiry date shows Expired. One close to it shows Expiring soon.
Common problems
- "Choose a file to upload." A new document needs a file.
- "That file is larger than 10 MB." Use a smaller file.
- "Use a PDF or an image (JPEG, PNG, WebP or HEIC)." The file is another type.
- "That is 200 documents already. Remove one first."
