Apply for leave

Apply for annual, medical or other leave, see your balance, and cancel a request.

On the Leave screen you apply for your own leave, see your balance for the year and follow each request until it is decided.

Who can do this

Anyone in the workspace whose account is linked to their employee record, whatever their role. You can only apply for your own leave here. Owners and admins enter leave for someone else on the leave approvals screen.

Before you start

Your account must be linked to your employee record. If it is not, the screen shows "Your HR record isn't linked yet".

Steps

  1. Open HR, then Leave under Applications.
  2. Click Apply Leave.
  3. Choose the Type of leave: Annual leave, Medical leave, Emergency leave, Unpaid leave, Maternity leave or Paternity leave.
  4. Choose the First day and the Last day. For a single day you can tick Half a day.
  5. Add a Reason (optional) if you want, up to 500 characters.
  6. Check the count under the form. It shows how many working days the leave takes, and your balance left after it, year by year.
  7. Click Apply for leave. The request appears under My requests as Pending.

The days are counted for you, as working days. Leave over your balance can still be sent. You will see a warning, and whoever decides it will see it too.

Cancel a request

  1. Find the request under My requests.
  2. Click Cancel, then Confirm. Cancelling cannot be undone.

You can cancel a request while it is pending, or after it is approved as long as the leave has not started yet.

Common problems

  • "That overlaps leave already applied for on those dates." You already have leave on some of those days.
  • "Those dates have no working day in them." The dates fall on days off or public holidays.
  • "That leave has already started. Ask an owner or admin to cancel it." Approved leave that has started can only be cancelled by an owner or admin.
  • "The last day cannot be before the first day." Check the dates.
  • A rejected request shows a note: the note under Rejected is what the person who decided it wrote.
