Approve or reject a change
AI Assistant never changes your data on its own. Each change waits on a card for you to approve or reject.
AI Assistant can make changes for you, such as adding a lead or moving a deal to another stage. It never saves a change until you approve it.
Who can do this
Owners, admins and members can ask AI Assistant to make changes. A viewer can look things up, and can ask for their own leave, claims, overtime and similar requests if their account is linked to an employee record. If a viewer asks for any other change, AI Assistant says it cannot and points to the screen where someone with access can do it.
Each change runs as you. The same rules apply as on the product screens. For example, in HR a manager can only decide leave, time off, claims and overtime for their own direct reports.
Steps
- Ask AI Assistant for the change in your own words, for example "Add a lead called Siti Aminah".
- AI Assistant prepares it and shows a card headed Change to approve, with what will change.
- Read the card. Some cards have a line that says which record it is, or a warning. Check them.
- Click Approve to make the change, or Reject to leave everything as it is.
After you approve, AI Assistant tells you what changed. If the screen behind the chat shows that data, it refreshes. If you reject, nothing is changed and AI Assistant offers to adjust it.
The card is the check. AI Assistant does not ask "are you sure?" as well.
Common problems
- "Approve or reject the change above first." A card is waiting. Answer it before you send another question.
- The change did not go through. If the change is refused when it runs, AI Assistant tells you the error and how to fix it. Nothing was saved.
- AI Assistant only shows one hiring change at a time. Changes to a hiring application, a candidate, an interview or the talent pool, and hiring deletions, come one card at a time. Answer the card, then ask for the next one. Deleting an application or a candidate cannot be undone.
- AI Assistant asks you for one more detail. Some changes need something you did not give, such as an email for a new contact. AI Assistant asks only for that.
