Chart of accounts

See every account in your books with its balance, check that the books balance, and add accounts of your own.

Chart of Accounts is your double-entry account structure. It lists each account by kind (asset, liability, equity, income and expense) with its balance. A card says whether the books balance: Books balance, or how far they are out.

Who can do this

  • Everyone in the workspace can see the chart and export it.
  • Only owners and admins can add, edit, archive, unarchive or delete accounts. Only they see New account and the row menus.
  • In the demo workspace nothing can be changed.

Steps

Add an account

  1. Open Chart of Accounts under Analytics in the Finance menu.
  2. Click New account.
  3. Enter a Code of 1 to 10 characters and a Name.
  4. Choose the Type. It cannot be changed afterwards.
  5. Click Add account.

The Stands for column says what an account is: System, Bank or cash account, Category or Added by you. Bank and cash accounts come from Banking, and category accounts from Expense and income categories.

Edit, archive or delete an account

  1. Open the account's row menu.
  2. Choose Edit, Archive or Unarchive.
  3. Only an account you added can be deleted, and only while it has no journal lines. Confirm with Delete account.

Tick Show archived to see archived accounts. Click Export to download the list.

Common problems

  • "That code or name is already used by another account."
  • "This account has journal lines, so it cannot be deleted. Archive it instead."
  • "That cannot be done to this account: it stands for a bank account, a category or a system account, or it is in use."
  • "Only an owner or admin can change accounts or journals."
